Seasonal rates and minimum stays: explaining them on your website

A booking calendar and room key at a guesthouse in autumn.

Present seasonal prices, minimum stays and visits spanning two rate periods in a way that helps guests understand the offer for their dates.

A guest sees a “from” price, chooses a few nights and expects to understand the total easily. If the stay spans two seasons or includes a holiday package, a table with three prices may not be enough.

The purpose of the pricing page is to help visitors identify the option that applies to their dates and understand when individual confirmation is needed.

State what each amount covers

Beside every price, explain whether it is per room, per person or for the whole house, and how many guests it covers. “Per night” and “for the entire stay” are not interchangeable. If breakfast, cleaning or another service is included only in a particular option, note it beside that option.

Guests should be able to understand additional costs before submitting a request. When the total depends on information that is not yet available, explain how it will be calculated rather than making an example amount look final.

Define the start and end of each period

Give exact dates and the year for each season. Explain whether a rule applies to nights within that period or to the arrival date. Check the boundary dates so a night cannot fall into two different rows without a clear rule.

Assign one person to keep the table current. If prices come from a booking system, clarify whether the website receives them automatically or someone enters them separately. A static table should not promise real-time prices when there is no such connection.

Give an example of a stay across two periods

The following figures are illustrative, not an accommodation offer. Suppose the night of 30 June costs €100, while the nights of 1 and 2 July cost €120 each. Arrival on 30 June and departure on 3 July gives three nights and a base total of €340.

This example applies only if your rules charge each night at the rate for its period. If you sell a package for the whole stay, describe that package separately. Explain how extra guests and services affect the total where relevant.

Explain the minimum stay beside the date selection

“Minimum three nights” is useful only when guests know which dates and accommodation it applies to. If arrival is restricted to certain days, explain that in advance too. Say explicitly when a shorter stay can be considered on enquiry.

When the selected dates do not meet your rules, the message should explain why and what the guest can do next. A generic “No availability” may hide the fact that the room is free but the requested stay is too short.

Check the rules with specific scenarios

Before publication, work through an ordinary weekend, a seasonal boundary, a holiday period and a stay with an extra guest. Compare the website's result with what a member of staff would offer for the same details. Resolve discrepancies before enabling automatic confirmation.

For a hotel website or guest-house website, include these rules in your brief. This helps determine whether clear information and an enquiry form are sufficient, or whether the project needs an additional booking integration.
